How do I take payments by QR code or bank transfer, such as PromptPay or GCash?

PromptPay, GCash and other wallets work without an account to open and without commission: members pay you directly, then tell you they paid, and you confirm. Nothing comes back to the software by itself.

How these payments work#

A QR or transfer payment goes straight from the member to your account. MoveMembers never touches the money and takes no commission, and there is no account to open and no key to paste. The price of that simplicity is that nothing comes back to the software: PromptPay and GCash do not notify the merchant.

So the flow always has three steps. The member pays in their banking or wallet app. They tell your software they have paid, with the reference number their app shows. You check your bank, then confirm.

Path: Settings › Integrations. PromptPay QR and GCash have a card of their own, and every other wallet is added with the Wallet payment card. The methods of your country come first, then the ones that work everywhere, and the others stay reachable in a collapsed group called Other countries. None of them is behind a plan.

Set up PromptPay#

Path: Settings › Integrations.

PromptPay is the Thai bank QR. On the card PromptPay QR, put the mobile number, tax ID or e-wallet ID that receives your transfers in the field PromptPay ID (mobile, tax ID or e-wallet), turn on Take payments with a PromptPay QR and Save. The QR then shows with the amount already inside it, so the member does not type it: they scan it, their banking app opens the transfer to you, and they confirm.

You show it at the counter, on the screen facing the member, and the member sees it in their own space when they buy a plan or pay a balance, with the right amount each time. If you have no PromptPay ID, you can upload a merchant QR from your bank instead, but an image carries no amount: the member then types it themselves.

Set up GCash#

Path: Settings › Integrations › GCash.

In your GCash app, open QR, then Receive money, and save your personal QR. Upload that image on the card, then put your GCash number in GCash number and the name shown on your account in Account name. Choose who confirms: I confirm each one, where a booking waits until you check the transfer in GCash, or A reference is enough, where it is confirmed as soon as the member enters their reference number. Turn on Let members pay by GCash transfer and Save.

A personal GCash QR carries no amount. The member scans it, types the amount themselves, pays, then pastes the reference number GCash gave them. The reference is what lets you match a pending booking with the transfer you received.
Other wallets and bank transfers

Path: Settings › Integrations.

On the card Wallet payment, the same sheet serves GCash, Maya, QR Ph, PromptPay, VietQR, MoMo, Bank transfer and any other wallet you pick under Payment method. You fill in Name shown to members (left empty, the name of the method is used), the QR code, the Account number or ID, the Account holder name and Short instructions, one line shown next to the QR. Ask for the payment reference decides whether the member must give the reference their bank shows. Offer this method to members turns it on or off, and your QR and details are kept if you stop offering it.

A method needs a QR code or an account number to be offered: without either, it stays hidden from members. You can keep up to six methods, and Remove this payment method deletes one. Payments already recorded keep their reference.

Take a screenshot of the QR in your banking app and upload it. Members see it full width when they pay, with the account number under it so they can pay without scanning.
What the member does

When a member buys a plan, pays a balance or books a place that is held until payment, they see your QR, the account details and, when you set it, the amount to send. They pay in their app, type the reference, and press I've paid. The screen then says that the studio confirms it once the transfer arrives.

Path: Settings › Booking rules. The row When the place is confirmed offers On booking, Once paid, if no membership covers it, After you confirm a payment, or After payment, or pay at the studio. With a held place, Hold the place for sets how long it waits, from 1 hour to 72 hours, and Amount to send shows the amount next to your QR. After the hold time, the place goes back on sale and the person is told.

A held place needs a way to pay. If you have no wallet, no PromptPay, no Stripe and no pay at the studio, the card warns Nobody can pay yet: add a wallet payment method in Integrations, or allow paying at the studio above.
Confirm what members say they paid

Path: Dashboard. The block To confirm appears on the Dashboard and on the Payments page as soon as a member says they paid. Each row shows the member, the session or the plan concerned, the amount, the method, how long ago and the reference.

Check the reference in your banking app, then press Confirm. Confirming records the payment, which then counts in your revenue, and confirms the place or opens the plan the member bought. Decline asks for a short reason, sends it to the member and puts the place back on sale.

Below, Waiting for payment lists the places held for which nothing has been sent yet. Release frees a place without waiting for the delay, for example when the person told you they would not come.

Payment waiting for your confirmation and Place held, waiting for payment are alerts in Settings › Team alerts. They are on by default, and they are how your team learns that a member is waiting.

When you take a payment yourself, open Payments › Collect a payment, choose PromptPay or GCash as the method and press Show the QR to display the code to the member.
