A plan can be limited to sessions that start between two times. For those plans only, a checked-in member has to be checked out, and one who stays past the end is converted to a dearer plan, the difference being due.

Steps

  1. Find the member in the check-in list.
  2. Press Check out.
  3. To correct a mistake, press Undo in the message, or Undo check-out in the row menu.

Limit a plan to set hours#

Path: Settings › Memberships › a plan › Time window.

Turn on Only bookable at set times and fill From and Until. Sessions that start in this window can be booked with the plan. What counts is the start time of the session: with a window of 12:00 to 17:00, a session that starts at 16:00 and ends at 17:00 is in, and a session that starts at 17:00 is out. A booking for a session outside the window is refused, and the message gives the hours.

Reminder before the end is the number of minutes before the end of the window when the member is reminded to leave, 15 to begin with, and 0 means no reminder. Grace period after the end is the number of minutes the member has after the window ends before anything happens, 15 to begin with, and 0 converts the visit as soon as the window ends. Both go up to 120.

The window is off by default, and a plan without one behaves exactly as before.

Convert a late visit to another plan#

Path: Settings › Memberships › a plan › Time window.

If the member has not checked out, convert the visit to is a list of your other plans, Nothing to begin with. Choose, for example, a full-day pass. Under it the screen says what the member will owe, The member will owe an amount more, or No extra charge when the plan costs the same or less.

Block bookings and entry until the balance is paid appears once a plan is chosen, and it is on by default. While the difference is unpaid, the member can neither book nor come in.

Only the difference is due. The member keeps one membership line: it changes into the other plan, and the amount already charged stays. The conversion happens once for each plan.

What happens during a visit#

A visit starts when the member is checked in on a plan that has a window. At the reminder time, the member receives a message on LINE and by email asking them to start getting ready to leave and to check out by a time. In their space, the card You're checked in gives the end of the pass and a Check out button, and it reads Time to head out once the reminder has gone.

When the window and the grace period have passed and nobody has checked out, the visit is converted. The member is told that they were still checked in, that the visit was converted and what is now due. For as long as the balance blocks bookings, their space shows You have an amount to pay before you can book or come in again, with a Pay button.

The software looks at open visits every fifteen minutes, and again whenever the application is read, so a reminder or a conversion is never sent twice.

Only a checked-in visit can be converted. A booking nobody checked in is not a visit, so nobody is charged for an absence.
Undo a conversion

Path: Members › a member › Memberships card › the plan › Undo conversion.

The membership goes back to the original plan, and the balance is cleared. The line Out automatically on the visit shows that it was converted, and a conversion is undone here and not with Undo check-out.
