Gym software for Malaysia, with your own DuitNow QR and a desk that works in two languages

  • Free forever
  • No credit card
  • No sales call
  • 10countries, Thailand first
  • 15languages, including Thai
  • 0%commission on what you collect

Does this fit a gym or studio in Malaysia?

It fits if members pay through DuitNow QR, a wallet app or a bank transfer, if staff switch between English and Chinese during the day, and if you are tired of hunting for payment proof in WhatsApp. It does not fit if every screen must be in Malay, or if the software itself has to issue tax invoices.

Built for card readers, used with QR codes

Most gym software expects a saved card. A studio where people scan and transfer finds the gaps quickly.

  • Proof of payment lives in WhatsApp

The member scans, pays and sends a screenshot. Then somebody scrolls back, finds a name, and guesses which class it settles.

  • One desk, two or three languages

The owner reads English, a coach explains drills in Mandarin, a regular asks questions in Malay. A tool that speaks one language leaves someone translating on the fly.

  • Seats reserved by people who forget to pay

When the transfer arrives later, the place is either handed to someone else too early or kept for a person who never sends money.

  • Price lists drawn up elsewhere

Plans designed around US or European budgets are hard to justify for one studio in Kuala Lumpur, Penang or Johor Bahru.

  • Late payers hidden in a notebook

Nobody notices a lapsed member until the month's total looks light.

How MoveMembers deals with it

Your QR stays the way members already know it, screens follow each person's language, and a seat can wait for the money.

Your DuitNow QR, under a name you choose

Upload your business QR once and label it the way members know it. The desk shows the amount beside the code, the member pays and replies with the reference, and you tick it off. You confirm every payment yourself; MoveMembers charges nothing on these payments and never holds the funds.

English and Chinese, picked per person

One person at the desk can read Chinese while the owner keeps English. The member page follows the member, not the studio.

A pending seat

Tick a single setting and a booking is set aside until you mark the payment received. Studios that leave it off see no difference.

Where the money comes from, day to day

Cash at the counter, a QR from a banking app, a wallet payment, the odd card. Everything lands on one member profile.

The amount sits next to the code

Business QR codes often carry no figure, so the screen prints the amount in large type beside it. Nobody types a number: the member pays and replies with the reference.

No automatic matching, said plainly

MoveMembers cannot see your bank or wallet account, so it cannot match transfers on its own. When the reference fits, one tap marks the payment as received, in place of a screenshot and a name remembered from last week.

A label for each way of paying

DuitNow QR, a wallet and a bank transfer are listed separately, so a receipt states what was really used. They are QR codes and names you set up yourself, not ready-made connections.

Cash and cards sit in the same record

A walk-in who pays cash gets a profile and a payment in a few taps. Cards run through a Stripe account of your own where your business can open one; the rest of the software does not depend on it.

Whatever the method, MoveMembers keeps no cut. Members pay you, and the software only records it.

A ringgit receipt with your studio's name on it

A payment nobody can prove tends to come back as an argument months later.

  • Set a receipt prefix and a footer line once under Settings, Finance. Every receipt after that carries both.
  • Each one shows a number, a date, the member, the method, the period it covers and the amount.
  • Pick Ringgit (RM) in the currency list and every figure, receipts included, follows it.
  • Receipts leave as a PDF by email.

A receipt here is proof of payment from your studio. It is not a tax invoice, and MoveMembers does not produce tax invoices. If you must issue them, carry on with the tool you use today.

English and Chinese, one person at a time

Few studios in Malaysia run in a single language, so language is a personal choice rather than a studio-wide one.

  • 15 interface languages are available, English and Chinese included, and everyone selects their own.
  • A member sees their own page, receipts and messages in the language they picked, whatever the studio uses.
  • Malay is not among the interface languages. If your front desk needs Malay screens, find that out before you sign up.
  • New numbers start with +60, and the studio clock uses Asia/Kuala_Lumpur unless you choose another time zone.

Email on every plan, WhatsApp on Max

WhatsApp is how members usually reach a studio here, so this is what the software sends and through which channel.

  • Reminders and receipts go out by email on every plan.
  • On Max you can also send through WhatsApp Business and SMS, using accounts you own.
  • WeChat is not connected today.
  • If members only answer on WeChat, keep using it next to the software for now.

Personal data: what software can and cannot do

A studio keeps names, phone numbers, photos, birthdays, payment history and signed waivers. Malaysia has a data protection law that covers what a studio collects about its members.

  • Download your data at any time without asking support.
  • Remove a member for good, after a recovery period you choose, in case the wrong person gets deleted.
  • See who changed what, and when, so an edited balance can be traced.
  • Give people roles (owner, admin, coach, front desk) that the server enforces rather than a hidden button.
  • Protect the front desk tablet with individual PINs and the owner account with two-factor sign-in.
What the software will not do for you:
  • It does not draft your privacy notice.
  • It does not tell you what to keep or for how long; ask an adviser about your own situation.
  • It does not make a studio compliant. Responsibility for the data stays with you.

This page describes software, not legal advice. We are not lawyers, and what a studio must do depends on what it collects and how it uses it.

What a studio here usually needs

No module to add later, no per-feature upsell.

  • DuitNow QR, e-wallet and bank transfer entries, each with its own name
  • English and Chinese screens, member page included
  • Optional seat hold until payment is confirmed
  • Class booking with limits and waitlists
  • Memberships, class packs, credits and drop-ins
  • Online card payments through your own Stripe account where available
  • Numbered, dated receipts in ringgit
  • A member page that opens in the browser
  • Check-in on a front desk tablet
  • CSV import for your member list
  • Data export, deletion with a recovery window, and a trail of changes
  • A public booking page that search engines can read

Also documented on their own: payments and billing, scheduling and bookings and the member page.

When something else may suit you better

A page that claims every advantage is not believable, so here are the cases where you should look elsewhere.

  • Your desk works only in Malay and needs every screen in it. Malay is not an interface language today.

  • You want tax invoices produced by the same program. Keep your current invoicing tool and use MoveMembers for bookings, memberships and payments.

  • You operate in several countries and lean on a large vendor's ecosystem. Switching costs time and pays off only when the gain is clear.

What MoveMembers leaves out:

  • A Malay interface.

  • Automatic confirmation of DuitNow or wallet transfers; the desk confirms them.

  • Tax invoices.

  • Door hardware such as gates or face terminals.

  • A member app to download; the member page runs in a browser and can sit on the home screen.

Switch, or stay

Choose MoveMembers if

Members pay by DuitNow QR, wallet or transfer, your team moves between English and Chinese, and you run one or two sites. You want each payment on the member's file and a seat that holds until the money is in.

Stay put if

The desk needs Malay screens, or the same tool must produce your tax invoices. Moving software takes effort and should only happen for a clear gain.

What this costs a studio here

Questions from studios in Malaysia.

Can I use my DuitNow QR?

Yes, as a payment method you create: upload the QR of your business account, name it, and the screen shows the amount next to it. Members reply with the transfer reference and the desk confirms. Because MoveMembers cannot look inside your bank, the confirmation is manual, but it takes one tap.

Does Touch 'n Go work too?

The same way, under its own name. You upload the code, members pay and reply with a reference, you confirm it, and the receipt records which wallet was used.

Is there a Chinese version?

Yes, next to English. Staff screens, the member page, the booking page and automatic messages can all be set to Chinese, per person. The help manual stays in English. There is no Malay interface.

Can members be asked to pay first?

Yes. A studio may hold the place until payment is confirmed instead of confirming the booking at once. One setting controls it, and studios that skip it behave exactly as before.

Which currency does MoveMembers bill in?

Thai baht, on the Southeast Asia price: Free, 2,490 THB a month for Pro and 4,990 THB for Max. Your members pay you in ringgit, which is on the currency list in settings.

Can I message members on WhatsApp?

On Max, yes: connect WhatsApp Business and SMS through accounts you own. Every plan sends reminders and receipts by email.

Are these receipts valid tax invoices?

No. They prove payment to your studio with a number, date, member, method and amount. If your business must issue tax invoices, keep the tool you use for them.

Does it meet Malaysian data protection rules?

That is not a question software can answer. Your studio is responsible for the personal data it holds. MoveMembers offers export, deletion and a change history, and you decide what your situation requires.

Do members need an app?

No. The member page opens in the browser, and members can place it on their home screen.

Can I try it without moving everything?

Yes. Import a CSV, run a single class, and compare. Nothing has to be switched off.

Members already scan your code. Now it can land on a profile.
