Class packs and credits

Class pack software, from designing the pack to the day it expires

Start with what your gym sells: the price, how many days it lasts and how many classes it includes. Sell it at the desk or let the member pay. The system counts what is left and warns before the pack expires, which is the one moment you can still sell the next one.

Designing the pack

The packs gyms sell most, and how to set them up

Every product has the same three fields: a price, how long it lasts and how many classes it includes. What differs is the value you type in.

Several products can sit on one profile at once. A member who holds a ten-class card and buys a block of private sessions on top does not need a second profile. When they book, the system chooses which one the class comes off.

A single-session ticket for somebody trying you out

One class, a short validity, sold for cash at the desk in a couple of taps. The people who try you and like it are the easiest to sell a bigger pack to.

A ten-class card

Set the validity to match how often people really come. Too short, and you argue at the desk about a card that expires with classes left on it.

A monthly or three-month pass

Set the number of classes included, or leave the cap off for the member who trains every day. The system still watches the end date.

One-to-one sessions

Sell them as a pack for a coach or a room, and mark it private so the slots a client books are held for them alone.

At the desk

Five steps from yes to a receipt in the member's hand

  • Open the member's profile. If they are new, create it from the same line as you type their name
  • Pick the product. The price, validity and number of classes fill in as you set them
  • To reduce the price, add a discount with a reason. It stays attached to that pack and can be checked later
  • Take cash, a transfer, a card or PromptPay. If the member pays part now, the system tracks what is left and will not accept more than the agreed price
  • Issue a numbered receipt, sent as a PDF by email or as a link on LINE
Counting the classes

A credit comes off at booking and goes back when the booking is cancelled in time

A credit leaves the pack when the class is booked, not when it is attended. If the member cancels before the cut-off you set, the credit goes back in full. After the cut-off the class counts as used. The rule is set once, in your booking rules, so nobody argues it person by person.

A pack can also have no cap on classes, for the member who trains every day. Nothing is metered, and the end date still applies.

Expiry and the next sale

Make the end date clear, and let the system do the reminding

Nearly every dispute over a class card comes from an expiry date the member never heard at the desk. The member area shows the end date and the classes left at all times, and a built-in message goes out when a pack is close to expiring. That is the moment the member is still around and you can sell the next pack, not two months after they stopped coming.

When you need to bend the rules there are two routes. Freeze the pack with a reason, and the end date moves back by exactly the days it was frozen. Or adjust the remaining classes by hand, with the history of classes already used kept intact.

Members paying

Members can buy the next pack themselves, and split the payment if you allow it

A member can pay for a pack from their own space through your Stripe account, and the money goes straight to you. The methods that appear are the ones you have switched on in Stripe, PromptPay included if your account offers it.

For a long course you can allow payment in monthly instalments by card, in the number of instalments you set on the product. The charges stop by themselves after the last one.

What it does not do

What this does not do yet

  • Class packs and credit bundles are never charged automatically. A card is charged on a schedule only when the member chooses to pay in instalments on a product where you set the number, or sets up auto-pay on a renewing membership you have switched it on for
  • There is no direct debit from a bank account
  • When a member changes plan part-way through a period, the price is not prorated by the day

Questions owners ask

We only sell class cards, with no monthly plans. Does that work?

Yes. The system was built for it. You create a ten or twenty class card with your own price and validity. A class comes off at booking and goes back if the member cancels in time, and no member ever has to hand over a card for automatic payment.

How long should a ten-class card last?

It depends on how often your members really come. If most come twice a week, ten classes are gone in five weeks, so set the validity comfortably beyond that. That way you do not argue over expiry with classes left. The system accepts whatever value you choose.

A member is going abroad for three weeks. What do I do?

Freeze the pack with a reason and an end date. When they come back, the expiry moves out by exactly the days it was frozen, so they lose none of the time they paid for. Each freeze is recorded in the history.

Does the system warn members before a pack expires?

Yes. A built-in message goes out when a pack is close to expiring, and you can switch it on or off per channel. The member also sees the end date and the classes left in their own space, so they do not need to ask at the desk.

Will it charge members' cards every month without us noticing?

No. A card is charged on a schedule only for a member who chose to pay in instalments, on a product where you set the number of instalments (the charges stop after the last one), or who set up auto-pay on a renewing membership, which you have to switch on in the settings first.

Class packs and credit bundles are not charged automatically. Everything else is a sale you record, one at a time.

Can I bring my existing member list and packs from a spreadsheet?

You can import the member list from a file and create each person's pack as they come across. Booking history and past payments do not travel with it. What moves is the list and the packs that are still in use.
