A sequence, not a single rule

Five starting points exist: new member onboarding, membership renewal, win-back for inactive members, birthday, and new lead follow-up. Each step carries a day number, a channel, and its own message.

The day is counted from the starting point: days after joining, days before expiry, days since the last visit, days around the birthday, days after the lead came in. Start from a sample gives you a three-step welcome series you can edit.

Workflows are part of the Max plan. The button stays visible on lower plans so you can see what it does, and clicking it opens the upgrade panel.

Writing the steps

Each step has a day, a channel, a subject for email, and the message body. The text is written inside the step: a sequence does not reuse the messages from the Messages tab.

You can use {name}, {gym}, {plan}, {expiry} and {link} in the body. Only Email and LINE are available as channels. Steps are reordered by day when saved, and a workflow holds at most twelve of them.

A step with an empty message blocks saving. The name is required too.

How it actually goes out

The same daily job looks for members whose day matches exactly. A member who is on day 8 of a workflow whose step is set to day 7 receives nothing: the day has passed.

A step is marked as sent only when the send succeeds, and a member never receives the same step twice. Birthday sequences rearm each year, win-back sequences rearm after each new period of absence.

Lead sequences are email only. A lead stops receiving steps as soon as they are converted, marked lost, or archived.

A member with no email address, or with no LINE linked for a LINE step, simply never receives that step. Nothing is queued and nothing is retried later, because the day no longer matches.
