How do I sort members into groups and choose who can buy what?

The short answer

Groups let one gym run two price lists at once: a plan can be reserved for a group, and members outside it never see it in their space. Create no group and nothing changes anywhere.

Put a member in a group#

Path: Members › a member › Group.

The field sits at the top of the identity block and holds one group, or none. Anyone allowed to edit a member can set it, so the front desk never waits for an admin.

In the member list the group shows as a small outlined badge, a Group filter appears in the toolbar and in the Filters panel, and the group travels in the export and in the CSV import.

Someone added at the front desk, through the public sign-up form or from the member space arrives with no group. That is on purpose: your staff sets the group when they check the person, and until then the field stays empty.

An answer given on a sign-up form never sets the group, even a question that asks it word for word. It is a clue for whoever validates the account, and nothing more.

Reserve a plan for a group#

Path: Settings › Memberships › a plan › Who can buy this plan.

The section appears under the price, and only once at least one group exists. Everyone is ticked by default, and it means what it says: every plan you sell today is open to everybody, and it stays open until you tick a group.

Tick one or more groups and the plan becomes theirs. Tick Everyone again to open it back to all.

The plan panel has no save button of its own. The bar at the bottom of the screen is what writes your change, and leaving the page without it drops the ticks.
On the plan list, a reserved plan carries its audience in small grey text, for example Thai only. A plan open to everybody carries nothing, which is why the mention still means something when you see it.

What each person sees, and where#

In the member space, someone sees the plans open to everybody plus the plans of their own group. A member with no group sees the plans open to everybody, and those only.

On the public booking page, where nobody is identified, only the plans open to everybody are offered.

At the front desk and on the member profile, every plan stays selectable. They are only reordered: the plans of that member's group first, the plans open to everybody next, the rest at the bottom, greyed out and marked For Thai members. Your staff can still pick any of them.

When a group and the open plans leave nothing at all to buy, the member space says the gym will open the right plans once the account is confirmed, rather than showing an empty list.

A plan already sold is never touched. Reserving a plan today decides what can be bought tomorrow: it takes nothing away from someone who bought it yesterday, and it hides nothing they already hold.

Troubleshooting

Why a plan you reserved still shows at the front desk

Because a front desk that refuses gets worked around, and a sale made beside the software is a sale your gym loses track of. A mixed couple, a rate agreed on the spot, a case the owner settles in front of the person: your staff reads the whole catalogue, with the out-of-group plans last and marked.

The member space is the opposite situation. Someone is shopping alone, with nobody to ask, so it shows only what they are meant to buy.

Deleting a group does not delete anybody

Deleting a group puts its members back to no group and takes it out of every plan that pointed at it. No member is removed, and no plan is removed either.

The confirmation counts all three effects before you agree: how many members go back to no group, how many plans stop being reserved for it, and how many plans become available to everybody.

That third count is the one to read twice. A plan whose only audience was this group does not become invisible, it becomes buyable by every member in their space. Deleting a group to tidy up is how a local price list ends up in front of everybody.
