Only the name is required, everything else can wait. You can add a photo, which is shrunk before it is saved, so a phone photo is fine. A product with no photo shows the icon and colour of its category instead, which is the fastest way to make a catalogue readable without photographing everything.

Price, cost and margin

Price is what the customer pays. Cost is what you paid your supplier for one unit. When both are filled, the drawer shows the margin in money and in percent, right under the two fields.

Cost is not optional in practice. Leave it at zero and the Accounting tab reports your entire revenue as gross margin, and your stock is valued at zero. The figures look great and mean nothing.

Categories and their look

Pick a category from the list, or type a new name in the small field below and press Add. The new category is created and selected in one go.

Once a category is selected, a Category look block appears: an icon or an imported image, and a colour. This is what shows on every product of that category that has no photo of its own.

The category look is saved the moment you touch it, for the whole category. Cancelling the product drawer afterwards does not undo it, and every other product in that category changes at the same time.

Variations for sizes and colours

Use variations when the same item comes in several sizes or colours. Each variation has its own name, its own stock, and optionally its own price. Leave the price of a variation blank and it sells at the product price.

Variations have no cost field. They are valued at the cost of the parent product.

A variation you just added starts at zero units, and there is no unlimited option for a variation. Add sizes S, M and L without typing quantities and all three show as unavailable at the till. Enter the quantities before you save.

Track stock, or sell without counting

For a product without variations, a Track stock box decides everything. Unticked, the product is unlimited: it never runs out, never shows a stock badge, and never appears in the low stock alert. That is the right choice for things you do not want to count, like water bought by the crate.

Ticked, you type how many units you hold. Every sale takes units off, every restock puts them back.

As soon as a product has variations, the Track stock box disappears and stock is held per variation only. The product level count stays unset, and a product whose sizes are all at zero still counts as in stock, still opens the till, and shows every size disabled once you are there.

Out of stock, and the low stock warning

Product cards carry a stock badge: green in stock, amber low stock, red out of stock. Unlimited products carry no badge. An out of stock card is dimmed and cannot be tapped to sell.

At the top of the Shop page, a warning panel lists every product and variation at or below your low stock threshold, set in Settings › Shop. Tapping one opens its drawer so you can correct the quantity on the spot.

Setting the low stock threshold to 0 switches the warning panel off, but it does not switch the amber badges off. Badges then fall back to a threshold of five units. The alert and the badges are not the same thing.

Take a product off sale, or delete it

Untick Available for sale to stop selling an item without losing it. It stays in your catalogue view but drops out of the sale screen.

To remove it for good, use the three dots menu on the product card and choose Delete. A deleted product goes to the Trash, restorable for as long as your retention setting allows. Sales already recorded are never touched: deleting a product does not erase the revenue it made.

A product marked as not available still shows on the Shop grid and is still clickable. Tapping it opens the sale screen with an empty ticket, because the till only lists available products. Nothing is broken, it just looks like the click failed.
